With almost 7 000 employees, the European Patent Office (EPO) is one of the largest public service institutions in Europe. Through the EPO's centralised patent granting procedure, inventors are able to obtain high-quality patent protection in up to 44 countries, covering a market of some 700 million people. The EPO is also the world's leading authority in patent information and patent searching.
In 2017, the EPO received over 165 000 patent applications and granted over 105 000 patents. Its free online patent database, Espacenet, contains more than 100 million technical documents from 100 countries, and its free neural machine translation service, Patent Translate, provides instant, high-quality translation in 32 languages, including Chinese, Japanese, Korean and Russian.

Directorate 4.4.1 (Buildings, Technical Installations and Property) is responsible for ensuring optimal working conditions for all staff, preparing and maintaining buildings and office space, ensuring the proper functioning of necessary technical installations and managing the supply of electricity, heat and water.

Department 4.4.1.5 (Facility Management Vienna) is looking for a HVAC technician to keep the Vienna sub-office's building, installations and equipment in good working condition and to make sure they are maintained according to the applicable standards and SLAs. Reporting to Dept. 4.4.1.5's Head of Section, you will ensure proper compliance with all relevant statutory, security and occupational safety regulations.

Your main responsibilities

  • Overseeing all HVAC works and, in future, the entire range of building technology and civil works covered by a service contract
  • Making sure the building, installations and equipment are in good working condition and maintained according to the applicable standards and SLAs
  • Implementing the building strategy in line with the epiqr process
  • Ensuring compliance with building and fire safety codes and all statutory regulations
  • Ensuring that existing harmonised procedures are implemented
  • Guaranteeing that technical documentation is up to date and that the CAFM (Archibus) system is managed properly
  • Making sure the correct tools are in place for the follow-up of maintenance activities, both preventive and corrective (the Archibus Preventive Maintenance and On Demand tools will be implemented during the upcoming reconstruction project to be operational for the renovated/new building)
  • Performing short-/medium-term work scheduling in co-ordination with your line manager (Head of Facility Management Vienna)
  • Supervising external service providers, performing control quality and managing both acceptance and warranty claims
  • Conducting smaller repair and maintenance works
  • Preparing technical specifications for invitations to tender for maintenance works and projects
  • Steering the procurement process for all activities in your section, including
    • drafting technical specifications for all contracts and projects
    • preparing procurement documents
    • interfacing with internal units (e.g. Central Procurement and Legal Services)
    • following the procurement process until signature of relating agreements
    • supervising the start-up and operation/execution phase
       
  • Preparing management information and decision documents on all analysed optimisation processes and developing continuous improvement initiatives
  • Monitoring project budgets, cost estimates, calculations, verifications and cost control in relation to supervised projects, and preparing operational expenditure and investment forecasts
  • Ensuring that all service requests are studied and, if approved, executed
  • Performing on-call duties out of office hours and on weekends

Other duties

  • Helping out with internal removals
  • Assisting with the technical setup of internal meeting facilities
  • Deputising for the electrical technician
  • Providing support on EMAS-related site surveys, audits and data collection
  • Other duties assigned by the Head of Facility Management Vienna

What we expect from you

  • Vocational qualification as a technician/engineer and master craftsman in the field of HVAC, building services engineering or facility management; completed studies at bachelor's level in HVAC, building services engineering or facility management would be an advantage
  • Fifteen years' proven work experience in the field of HVAC; experience in other technical fields and/or project management would be an advantage; in the case of completed studies at bachelor's level: five years' proven work experience
  • Good communication skills and proven experience in supervising technical facility management service contracts and multiple external service providers
  • Good knowledge of Austrian statutory requirements for building and technical infrastructure
  • Familiarity with process-oriented work and proven experience with building projects and services; an outcome-oriented approach
  • Willingness to perform on-call duties outside normal office hours
  • Willingness both to learn and pass on know-how, a team-player attitude
  • Minimum of five years' experience with CAFM software tools and databases
  • Working knowledge of German and at least one other official language (English or French)

Your qualifications

  • Completed secondary education or ‒ in exceptional cases ‒ equivalent professional experience.
  • Working knowledge of two official languages (English, French, German)
  • Citizenship of one of the member states of the European Patent Organisation
